Bids & Tenders Specialist

 

The Bids & Tenders department has a full time vacancy for a Bids & Tenders Specialist. The successful applicant will be responsible for administrating the process of price plans, quotations & tenders.

 

The ideal candidate will have the following....

 

           Excellent communication skills both written and verbal

           Excellent telephone manner

           Ability to work on own initiative as well as part of a team

           Ability to work to deadlines and remain calm under pressure

           Excellent attention to detail

           An intermediate knowledge of Microsoft Excel (working knowledge of Vlookup & pivot tables). A good working knowledge of Word, Outlook and experience on JD Edwards or similar ERP System.

           Be an enthusiastic team player at all times

 

Essential duties and responsibilities:

 

1.         Responsible for searching the Bid Tracker database using pre-defined search criteria to identify Public Sector tender opportunities.

 

2.         Receive tender documents, implement the tender process, collate internal information and produce documentation to given timescales.  Work out configuration options for pricing solutions working with discount and margin.

 

3.         Preparation of pricing & sales reports for the sales teams to deliver to the customer.

 

4.         Liaise with business units, sales managers and their teams. Provide monthly operations reports internally & to customers.

 

5.         Provide support to the Special Markets team for all pricing, quotes, bids & tenders. Provide sales support for incoming queries and enquiries.

 

6.         Implement the price plan & review process to agreed service levels for Field Sales Consultants. Implement customer rebate process to SOX guidelines.

 

7.         Ensure qualification and review processes are completed in accordance with company policy and practices.

 

8.         Manipulate data and produce management information. Monitor and maintain statistics on the outcome of all tenders and quotes.

 

9.         To monitor the expiry dates of all contracts/price plans and take appropriate action. 

 

10.       To develop and maintain a database of standard response documents and appendices for use with tenders and proposals to ensure consistency of response to clients.

 

11.       Offer support and resource to the customer gate-keeping role when required.

12.       Attend exhibitions, conferences and sales meetings, as required.

 

13.       Participate in special projects and perform other duties, as required.

 

Working Hours:  Monday – Friday, 9.00 am to 5.30 pm, although additional hours may be required to support the department’s needs.
